How we handle your data when you register for an event.
Registering on Eventbrite
From Vienna BioNetwork #3 onwards, registration runs through Eventbrite. When you register, Eventbrite collects your name and email address and your answers to our registration questions (for example your company or organisation, whether you would like to give a one-minute shoutout, and whether we may publish photos of you). We use this only to manage your place, to tell you if anything about the event changes, and to prepare the evening. Legal basis: performance of the arrangement you asked us for (Art. 6(1)(b) GDPR), and for photo publication, your consent (Art. 6(1)(a)). Eventbrite also processes data under its own privacy policy, for example for your Eventbrite account. Please read Eventbrite’s privacy policy for how it handles your data.
Registrations made on this website
For our first two meetups, registration took place on this website. There we collected your name, company or organisation and email address, your two choices on the public attendee list and on photos, and the time you registered. If you opted in, your first name, the first three letters of your surname and your company were shown on the event page, for example Jane Des. The list disappears once the event is over. Your confirmation email contains a personal link to cancel or change your choices; please do not forward it.
Photos
We take photos at our events and publish a selection on this website and on the Vienna BioNetwork page on LinkedIn. If you agreed to photos when registering, you may appear in them. If you see yourself in a photo and would like it removed, write to us and we will take it down. Please note that LinkedIn is operated by LinkedIn Ireland Unlimited Company as its own controller, and that anything published there is subject to LinkedIn’s terms and may have been copied by others before removal.
How long we keep it
We delete registration data, on this website and in our Eventbrite account and any lists exported from it, within 30 days after the event. After that we keep only an anonymous attendance count. If you cancel, your name and email are removed from our lists straight away.
Who else sees it
We do not sell or share your data. Eventbrite handles event registration. Our website is hosted by Vercel Inc., our email runs through Proton AG, and registrations made on this website are stored in a database operated by Upstash. These providers act on our instructions. Some of them, including Eventbrite and Vercel, are based in the United States, so your data may be transferred there under the safeguards described in their privacy policies.
Your rights
You have the right of access, rectification, erasure, restriction, objection and portability, and the right to lodge a complaint with the Austrian Datenschutzbehörde. To exercise any of these, write to vbn.events@proton.me.
