What we collect

Your name, company or organisation, and email address. Plus your two choices: whether your name appears in the public attendee list, and whether we may publish photos of you. We also record the time you registered.

Why we collect it

To manage your place at the event, to let you know if anything about the event changes, and to show who is coming so that attendees can see who they will meet. Legal basis: performance of the arrangement you asked us for (Art. 6(1)(b) GDPR), and for the public attendee list and photo publication, your consent (Art. 6(1)(a)).

The attendee list

If you opt in, your first name, the first three letters of your surname and your company are shown on the event page, for example Jane Des. Nothing else is published. Your full name and email address are visible only to the organisers. The list disappears once the event is over. You can switch this off at any time using the link in your confirmation email.

Photos

We do not host photos on this website. If you tick the photo box, we may publish photos or video showing you on the Vienna BioNetwork page on LinkedIn. You can withdraw that consent at any time via the link in your confirmation email or by writing to us, and we will remove the images. Please note that LinkedIn is operated by LinkedIn Ireland Unlimited Company as its own controller, and that anything published there is subject to LinkedIn's terms and may have been copied by others before removal.

How long we keep it

Registration data is deleted automatically 30 days after the event. After that we keep only an anonymous attendance count. If you cancel, your name and email are removed immediately.

Cancelling and changing your mind

Your confirmation email contains a personal link. It lets you cancel your place or change either of your consent choices, without needing an account or a password. Anyone holding that link can use it, so please do not forward it. If you lose it, you can request a new one from the events page, which invalidates the previous one.

Who else sees it

We do not sell or share your data. Our website is hosted by Vercel Inc. and our email runs through Proton AG, both acting as processors on our instructions. Registration data is stored in a database operated by Upstash.

Your rights

You have the right of access, rectification, erasure, restriction, objection and portability, and the right to lodge a complaint with the Austrian Datenschutzbehörde. To exercise any of these, write to vienna.bionetwork@pm.me.
